Buy on your purchase order

DOT Diamond Tools supplies highway, bridge, utility, municipal, commercial and industrial contractors. Those buyers do not pay with a card at a shopping cart. They raise a purchase order against an approved account and their accounts-payable department settles the invoice on terms. This page is how you open that account.

Approved trade accounts are Net 30, subject to credit approval. Once your account is open you send us a purchase order, we ship against it, and we invoice you. There is nothing to pay at the time of order.

You do not have to wait for approval to place a first order. Request a quote today and pay the invoice by company check, ACH or wire — the application is about the next order, and the one after that.

What an approved account gives you

  • Net 30, subject to credit approval. Invoices are dated from dispatch.
  • Purchase orders accepted. Send your PO number with the order and it is carried onto the invoice and the packing list.
  • Written quotes returned within one business day. Quoted prices and freight are held to what the quote says.
  • A named contact. Your account is handled by Thomas J. Tobin, Founder and Diamond Tooling Specialist — not a ticket queue.
  • Freight quoted before you commit. Prices exclude freight, and freight is priced in writing before any payment is requested.
  • Repeat-order history. We keep what you bought and what it was cut into, so a reorder is a phone call.

What the application asks for

Nothing on the form is unusual for a trade-credit application, and it is listed here in full so your AP department can gather it in one pass rather than discovering it halfway through.

  • Legal entity name, any DBA, and business type — corporation, LLC, partnership, sole proprietor or public entity
  • Billing address and shipping address
  • Years in business, and federal tax identification number (EIN)
  • Three trade references — company, contact name and phone for each
  • One bank reference
  • Requested credit limit and estimated monthly spend
  • Accounts-payable contact: name, email and direct phone
  • Whether a purchase order number is required on every order
  • The name and title of an authorized signer

Public agencies: if your entity is a city, county, school district, utility authority or state agency, you can normally skip the trade and bank references. Send the application with your purchasing department contact and we will work from that — see Government and Municipal Purchasing.

How to apply

  1. Ask us for the form. We send the credit application and our W-9 together, the same business day — they are used as a pair, so you only ask once.   2. Complete and sign it. An authorized signer has to sign — that signature is what allows us to contact the references you have listed.
  3. Return it by email to info@dotdiamondtools.com, or by mail to the address at the foot of this page.
  4. We confirm receipt. Your application goes to Thomas J. Tobin, Founder and Diamond Tooling Specialist personally. He will confirm it has arrived and tell you exactly where it stands and what, if anything, is still needed.

Why this is a PDF and not a web form

A credit application carries your EIN, your bank reference and your trade references. That is sensitive financial information about your business, and we have deliberately built this so that none of it is ever stored on this website. There is no database record, no web-form entry, and no third-party form service holding your details.

We handle our own paperwork the same way. Our W-9 and this application are sent on request rather than published for download, so a tax identification number is not left sitting on a public page. It costs you one short message and it takes us the same business day.

For the same reason: never send bank account or card numbers to us by email or through any form on this site. ACH and wire instructions are supplied with your invoice, to a payer we already know. Any message claiming our bank details have changed should be verified by calling (701) 922-1526 before a payment is released.

Paying before your account is open

Every order, account or not, starts with a written quote. On a first order, or where an account has not been approved, we accept:

  • Company check, mailed to our remit-to address
  • ACH or bank transfer, using instructions supplied with the invoice
  • Wire transfer, for larger equipment orders

We are not yet able to take card payments online. A merchant account is in underwriting; this page will be updated the day that changes.

On equipment over $1,000 — walk-behind saws, core drills and tile saws — a deposit may be requested on a first order. Once the account has a payment history, no deposit is required.

Frequently asked questions

What credit terms do you offer?

Approved trade accounts are Net 30, subject to credit approval. Invoices are dated from dispatch. You request a credit limit on the application and we confirm the limit in writing when the account is opened.

Do you accept purchase orders?

Yes. A purchase order against a written quote is the normal way to order from us. Send the PO to our accounts contact and the PO number is carried onto the invoice and the packing list so your AP department can match them.

Can a city or county skip the trade and bank references?

Normally yes. Public entities can send the application with a purchasing department contact instead of trade and bank references. Our government and municipal purchasing page sets out what a public agency needs from us, including the W-9 and our sales-tax position.

How long does approval take?

We confirm receipt of your application and tell you where it stands. The time to a decision depends on how quickly your listed references respond, which is the part outside our control. You can order in the meantime and pay the invoice by check, ACH or wire.

Is my EIN stored on your website?

No. The application is a PDF returned by email, and nothing from it is stored in this website in any form. There is no web-form entry and no third-party form service holding your details.

Do I have to open an account to buy?

No. Anyone can request a quote and pay by company check, ACH or wire. A trade account exists so that repeat buyers can order on a PO and settle on terms rather than arranging payment order by order.
